Meeting Minutes
June 1, 2001

Minutes:

The minutes of the April 6, 2001 meeting were approved.

Approval of the minutes of the December 1, 2000 meeting was tabled until the next meeting.

Discussion of final report:

Sue Lyons distributed the final report, Staying Digital: Recommendation on Preserving New Jersey Government Information in the Digital Age. All agreed that the report was very well done and thanked Sue for her work.

Sue reported that Bob Lupp suggested a more definitive distinction between publications, which are the responsibility of the State Library, and records, which are the responsibility of the State Archives. Our group is more interested in New Jersey government publications. Shelley Myer had sent some information on cataloging electronic documents and Sue included that. A statement about cooperation among State agencies, which was discussed at the last meeting, was also included. The wording of Recommendation #4 was discussed and it was decided to let it stay as is.

The group unanimously recommended that we adopt the report and add it to the agenda for the afternoon’s Executive Board meeting.

The group discussed the possible distribution and publication of the report. The report will be placed on the DANJ web page and sent to the GODORT webmaster also. Sue will look into mentioning it in the "State Activities" column of DttP. Sue will also ask Bob Lupp to catalog the report. Copies will also be sent to the State Librarian and the State Archivist.

State Document and Internet Site of the Year Awards:

The Chair distributed copies of the nomination forms for both State Interest Group awards.

The forms will be distributed in New Jersey in three ways: 1) 65 copies of each form will be mailed to Bob Lupp for inclusion in the depository shipments; 2) each form will be posted in the DANJ webpage; 3) one copy of each form will be mailed directly to all New Jersey depository libraries. This mailing will include a letter from the Chair about the awards.

Ellen Bonacarti and Shirley Knight have agreed to serve on the sub-committee to review the nominations. Deadline for nomination is August 27, 2001, and the Chair will report about the nominations received at the October meeting.

Next Meeting:

The next meeting will be held on Friday, August 3, 2001 from noon to 1:00 p.m. at the East Brunswick Public Library.

The meeting adjourned at 1:05 p.m.
