Agenda:

The agenda was approved.

Minutes:

The minutes of the February 1, 2002 meeting were approved.

Old Business

Staying Digital: Recommendations on Preserving New Jersey Government Information in the Digital Age. Sue Lyons mentioned that the Governor’s office has appointed a person who has established standards for new web sites for New Jersey government agencies. Possibly we can send our report to this person with the recommendation that archiving procedures be part of the new standards.

The Chair showed the members a copy of a publication from the State Archives titled, Strategic Plan to Improve the Preservation, Collection, and Use of New Jersey Historical Records. The aims of this plan are similar to the goals stated in our report.

The idea to begin a "starter kit" for New Jersey documents was mentioned again and will be taken up at a later meeting. The Chair will draft a list of items to be included.

New Business

Copies of the two nomination forms for the State Document and State Internet Site of the Year Awards were reviewed. The forms were approved. The Chair will have sufficient copies made for distribution through the depository system and direct mailings to State Depositories in New Jersey.

The letter to accompany the direct mailings was also approved.

Next Meeting

The next meeting will take place on Friday, June 7 at noon at the State Library. Bob Lupp will attend the meeting but Norma Blake, State Librarian, is not expected to attend. One topic of the meeting will be our report, Staying Digital, and any impact it has had. We will also ask Bob about his procedure for preservation of electronic-only documents. Does he currently print and bind certain documents or copy them onto CDs?

Adjournment

The meeting adjourned at 12:50 p.m.

Respectfully submitted,

Susan Sabatino
