The agenda was approved.
Minutes:
The minutes of the October 5, 2001 meeting were approved with minor corrections.
Annual Report for 2001
The Chair distributed the text of the Annual Report for 2001 to the members. The report was reviewed and accepted. The report will go to the DANJ archives along with the following attachments:
Copies of the two nomination forms for 2001
A list of the documents and Web sites nominated
Copies of the awards presented at the Fall Conference, and
A copy of the winning document, A Special Look at New Jersey’s Transportation System
Update of the report, Staying Digital: Recommendation on Preserving New Jersey Government Information in the Digital Age
The members discussion of what the Group’s next step should be regarding this report of the SDIG and what our goals are. The suggestion was made to invite a New Jersey government official, possibly the State Librarian, to one of our meetings. It was decided not to contact the State Archivist owing to the distinction between documents and records. DANJ is more concerned about continued access to government documents. Susan Lyons will contact Norma Blake and ask if a meeting can be arranged. We are willing to move the April or June meeting to the State Library to facilitate this meeting.
Suggestions for Future Meetings
Re: Processing Guidelines
Among the SDIG members, there was not strong interest in this topic at this time. The majority of members feel comfortable in their processing procedures. A request came from a non-member for information on the topic. The Chair will draft an announcement for the dox-nj listserv to determine if there are other documents librarians with an interest in this subject. If so, a meeting could possibly be arranged. It was also suggested to begin a "starter kit" for New Jersey documents. The Chair will draft a list of items to be included. Jan W. will send a list of the cutter numbers used to classify the monographs (974.90’s).
One suggestion for a topic / project for the SDIG might be a tutorial day for geographical information systems (GIS) at the Dept. of Environmental Protection.
Next Meeting:
The next meeting will take place on Friday, April 5 at 12:00 noon. The place will be decided later, either the East Brunswick Public Library or the State Library in Trenton.
